Privacy Policy

1. Who we are

Appoina ("Appoina", "we", "us") is a booking management platform that lets a business manage its services, employees, customers, schedules and payments, and lets that business's own customers book and pay for appointments online.

2. Scope of this policy

This policy explains how Appoina handles personal information collected through the application — including business owner and team member accounts, and the customers who book appointments with an Appoina business. Each business using Appoina is responsible for how it collects and uses information about its own customers beyond what is described here.

For account, business and billing information, Appoina decides how that information is used to provide the service and is responsible for it as described in this policy. For information a business collects about its own customers through its booking page — such as a customer's name, contact details and appointment notes — the business decides what to collect and how it is used, and Appoina simply stores and processes it on that business's behalf, solely to run the booking, scheduling and payment features the business has chosen to use.

3. Information we collect

  • Account information — name, email address and password, provided when a business owner or team member registers or is invited.
  • Business information — business name, time zone, currency and related settings entered by the business owner.
  • Customer booking information — name, email, phone number, appointment details and any notes submitted through a business's public booking page.
  • Payment information — online payments are processed directly by Stripe or Razorpay, Appoina's supported payment providers. Card, UPI and bank account details are entered on the payment provider's own secure page and are not stored on Appoina's servers.
  • Usage information — standard technical information such as IP address and browser type, used for security and to keep the service running reliably. This is stored with your session and is cleared when that session expires (by default, after about 2 hours of inactivity); the same information kept in our application logs for security troubleshooting is automatically deleted after 14 days.

4. Cookies

Appoina uses a small number of strictly necessary cookies to keep you signed in and to protect the application from cross-site request forgery. See our Cookie Policy for details.

5. How we use information

  • to provide, operate and maintain the booking, scheduling and payment features of Appoina;
  • to authenticate accounts and keep the application secure;
  • to send transactional emails such as booking confirmations, verification links and account notices.

Appoina does not currently send marketing or promotional email. If that changes in future, we will only do so with an easy way to opt out, and this policy will be updated first.

6. How information is shared

  • with Stripe and/or Razorpay, solely to process payments;
  • with the email provider configured for transactional email delivery.

Appoina does not sell personal information, and nothing in the application shares data with advertisers or data brokers.

7. Data retention

Account, business and booking records are kept for as long as an account stays open, and are not automatically deleted afterward. If you close an account, or want your business's or your own data deleted, contact us and we will action that request manually — Appoina does not yet offer automatic self-service deletion. Payment card and bank details are never stored on Appoina's own servers at all (see Section 3).

8. Your rights

Depending on where you live, applicable law may give you rights over the personal information we hold about you — for example, to receive a copy of it, ask us to correct it, or ask us to delete it. To exercise any of these, contact us using the details below and we will respond within a reasonable time.

9. Children's privacy

Nothing in Appoina asks anyone to declare their age, so we have no way to verify whether someone using a booking page is an adult or a minor. Appoina's dashboard and administrative tools are intended for adult business owners and their staff, not children. If you are a parent or guardian and believe a child has given us personal information through a booking page, contact us and we will remove it.

10. Security

Appoina uses reasonable technical and organizational measures to protect information, including secure password storage and encrypted connections. No method of transmission or storage is completely secure.

11. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will post the revised policy on this page with an updated date, and for significant changes we will also try to notify business owners by email.
